Refund Policy

At USDOTCO, a trade name of Leeway LLC ("Company," "we," "us," or "our"), we strive to provide excellent compliance filing services for motor carriers and transportation businesses. We understand that circumstances may arise where a refund is warranted. This Refund Policy outlines the conditions under which refunds are available and the process for requesting one.
Section 1Service Fee Refunds
Our refund eligibility depends on the status of your filing at the time the refund is requested:
Before Filing Submission
If you request a cancellation before we have submitted your filing to the applicable government agency, you are eligible for a full refund of both our service fee and any government fees that have not yet been remitted. Cancellation requests made within this window will receive a 100% refund.
After Filing Submission
Once your filing has been submitted to a government agency, our service work is considered complete. At this stage:
- USDOTCO service fees are non-refundable, as the filing preparation and submission work has been performed
- Government fees that have already been remitted to the applicable agency are non-refundable, as these fees are controlled by the government entity and not by USDOTCO
- If a filing is rejected by a government agency due to an error on our part, we will re-file at no additional service charge or issue a full refund of our service fee, at your option
Filing Rejections Due to User-Provided Information
If a filing is rejected by a government agency due to inaccurate, incomplete, or false information provided by you, refunds will not be issued. We will work with you to correct the information and re-submit the filing, which may incur additional service fees and government fees depending on the nature of the correction required.
Section 2Government Fees
Government filing fees, registration fees, taxes, and other amounts paid to federal or state agencies are set and collected by those agencies. These fees are non-refundable once remitted to the applicable agency. USDOTCO has no ability to obtain refunds of government fees on your behalf. Examples of non-refundable government fees include, but are not limited to:
- FMCSA application and registration fees
- Unified Carrier Registration (UCR) fees
- HVUT (Form 2290) tax payments
- State permit and registration fees
- IRP registration fees and apportioned plate fees
- IFTA license and decal fees
If a government agency issues a refund directly to you (for example, due to overpayment or duplicate filing), that refund is between you and the agency. USDOTCO is not responsible for facilitating government-initiated refunds.
Section 3Partial Refunds
In cases where USDOTCO has partially completed work on your filing but has not yet submitted it, we may issue a partial refund at our discretion. The refund amount will be determined based on the extent of work already performed, including:
- Document preparation and review completed
- Research and verification of regulatory requirements performed
- Communication with third parties (such as insurance providers or process agents) on your behalf
- Time and resources expended on your filing to date
Partial refund amounts will be communicated to you before processing. If you disagree with the partial refund amount, you may request a review by contacting us at support@usdotco.com.
Section 4Refund Processing Timeframes
Once a refund has been approved, the following processing timelines apply:
- Credit card refunds: Refunds to credit cards are typically processed within 5 to 10 business days. The exact timing depends on your card issuer and financial institution
- Debit card refunds: Refunds to debit cards may take 5 to 15 business days to appear in your account
- Other payment methods: Refunds via other payment methods will be processed within 10 to 20 business days
Refunds are issued to the original payment method used for the purchase. We are unable to issue refunds to a different payment method or to a third party.
Section 5How to Request a Refund
To request a refund, please follow these steps:
- Send an email to support@usdotco.com with the subject line "Refund Request"
- Include your full name, the email address associated with your account, and your order number or filing reference number
- Provide a brief explanation of the reason for your refund request
- Our team will review your request and respond within two (2) business days with a determination
Refund requests should be submitted as soon as possible. While we do not impose a strict deadline, requests made more than sixty (60) days after the original transaction may be subject to additional review and may not be eligible for a refund.
Section 6Chargebacks
We encourage you to contact us directly to resolve any billing concerns before initiating a chargeback with your financial institution. Filing a chargeback without first attempting to resolve the matter with USDOTCO may result in the suspension of your account and any in-progress filings. We reserve the right to dispute chargebacks that we believe to be unwarranted and to provide evidence of services rendered to your financial institution.
Section 7Service Errors and Corrections
If USDOTCO makes an error in preparing or submitting your filing, we will take one of the following corrective actions at no additional cost to you:
- Re-submit the corrected filing to the applicable agency at no additional service fee
- Issue a full refund of the service fee for the affected filing
- Provide a credit toward a future service of equal or lesser value
The corrective action taken will be determined in consultation with you. Our goal is to ensure your filing is completed accurately and to your satisfaction.
Section 8Modifications to This Policy
USDOTCO reserves the right to modify this Refund Policy at any time. Changes will be effective upon posting to the Site with an updated "Last updated" date. The refund policy in effect at the time of your purchase will govern your transaction.
